The night enquiry.

How do we answer and book guest enquiries around the clock and in any language?

Short answer

Answer availability, rates, amenities and policy from live systems in the guest's own language, and complete the booking directly. Travel enquiries arrive across time zones at all hours, and the operator who answers first frequently takes the booking — while the alternative is surrendering the guest to an aggregator.

The situation

A concrete version of this.

A property taking direct enquiries across several languages and time zones alongside aggregator bookings that carry commission.

  • Enquiries arrive overnight and are answered the next morning
  • By then the guest has booked through an aggregator
  • Pre-arrival questions about parking, check-in and access repeat endlessly
  • Returning guests are treated as strangers because preferences were never retained

Why it matters

Every unanswered direct enquiry that converts through an aggregator costs commission and, more importantly, the direct relationship that would have made the next booking free.

What gets built

Three things, in this order.

  1. 01

    Live availability and direct booking

Rates and availability quoted from the property management system, with the booking completed directly rather than referred onward.

  2. 02

    Genuine multilingual operation

Conversations handled properly in the guest's language, including tone — not translated output that reads as translated.

  3. 03

    Pre-arrival capture and guest memory

Requirements, transfers and preferences collected before arrival, passed to the teams who act on them, and retained for the next stay.

The metric

Direct booking share of total bookings

It captures the commercial outcome — commission avoided and relationship retained — rather than a response-time proxy that may not convert.

The boundary

What stays with a person

Rates and availability are always quoted from the live system, never inferred. Accessibility and dietary requirements route to staff for confirmation, because a wrong answer there is a safety issue. Payment is handled by your provider, never conversationally.
