AI Voice Agents
Can AI handle inbound and outbound phone calls for our business?
Short answer
For structured, transactional calls — checking a status, booking or moving an appointment, confirming details, taking a straightforward request — yes, reliably. For anything involving complaint, negotiation, distress or nuanced judgement, no, and the failure is worse on a call than in text because the caller cannot easily escape it. The design question is which calls, not whether.
Definitions
What this is, and what it is not.
It is
- Structured inbound handling: status, scheduling, confirmations, simple requests
- Outbound reminders and confirmations against your live systems
- Out-of-hours coverage for calls that would otherwise go unanswered
It is not
- A replacement for a contact centre
- Appropriate for complaints, cancellations or anything emotionally loaded
- Something to deploy without an obvious and immediate route to a person
Fit
When this is the right answer — and when it is not.
Both lists matter. A firm that never tells you no is not giving you information.
Right when
- A meaningful share of inbound calls are the same structured request
- Calls arrive outside staffed hours and currently go unanswered
- Appointment scheduling and rescheduling consumes a front desk
- Outbound confirmations are done manually and inconsistently
Wrong when
- Your call mix is dominated by complex or sensitive conversations
- Callers are frequently in distress or vulnerable
- You cannot staff a human escalation path during operating hours
What we do
In this order.
- 01
Call classification before anything else
What is actually arriving, in what proportion. Voice deployments fail most often because nobody established the mix first.
- 02
A narrow, well-executed scope
Two or three call types handled genuinely well beats a system that attempts everything and frustrates on most of it.
- 03
Immediate, obvious escalation
A caller can reach a person at any point by asking plainly. Confusion, repetition or distress triggers handover automatically.
- 04
Integration with live systems
Booking, rescheduling and status all write to the systems of record. Without that it is an expensive answering machine.
Boundaries
What stays with a person.
- Disclosure at the start of every call that the caller is speaking to an automated system
- Distress, complaint and vulnerability signals trigger immediate human handover
- No payment details are taken conversationally
- Call recording and retention follow your jurisdiction's consent requirements
Will it sound obviously artificial?
Less than it used to, but the more important point is that we disclose it regardless. Attempting to pass a system off as a person fails the moment a call gets difficult, and increasingly creates a regulatory problem too.
What happens if it mishandles a call?
The scope is narrow enough that the failure mode is usually handover rather than a wrong action, and every call is logged with what the system did and why.

Customer Operations That Answer Faster and Escalate Better
The goal is not to deflect customers away from humans.
