AI Integration
How do we integrate AI into the systems we already run?

Short answer
Through the APIs of the systems that hold your data, with the AI treated as one component in a workflow rather than a destination. The work is mostly integration engineering, not model work — which is why integration is the largest source of variance in any estimate, and the first thing that should be established before a price is quoted.
Definitions
What this is, and what it is not.
It is
- Connecting AI components to CRM, ERP, ticketing, finance and calendar systems
- Event-driven synchronisation so records stay in step
- Permission inheritance from your existing identity provider
- Middleware where a system has no usable API
It is not
- Bolting a chat window onto a website
- A separate portal your team has to remember to open
- Replacing your existing systems as a precondition
Fit
When this is the right answer — and when it is not.
Both lists matter. A firm that never tells you no is not giving you information.
Right when
- You have AI working in isolation and it has not changed anything
- Staff re-key information between systems that each work fine alone
- A tool you bought cannot see the data it would need to be useful
- You want AI inside the tools people already open, not alongside them
Wrong when
- The underlying process is broken — fix the process before connecting it
- The data the system would need does not exist anywhere yet
What we do
In this order.
- 01
Systems access audit first
Which of your systems have usable APIs, which do not, and what that means for cost and timeline. Established before anything is quoted.
- 02
Integration at the seams
Direct system-to-system connection so information is entered once and appears everywhere it is needed.
- 03
Delivery into existing tools
Inside the CRM, the inbox, the ticketing tool. A system that requires opening something new loses adoption within weeks.
- 04
Instrumentation
Throughput and stall points measured before and after, so the change is a number.
Boundaries
What stays with a person.
- We integrate before we replace — a migration on the critical path is how transformations fail
- Permission models are inherited from your existing directory, never re-implemented
- Where a system genuinely cannot support the workflow, that appears in the assessment rather than mid-build
Our ERP is twenty years old and has no API.
Then options narrow to database-level integration, file-based exchange, or replacement — and each carries a very different cost. This is exactly why systems access gets checked during the assessment rather than after signing.
Why does integration cost more than the AI itself?
Because the model is a commodity and your systems are not. Every estate is different, and the effort sits in the specifics of yours.
